Volunteer Roles & Descriptions
2018-2019 Season

We rely on the amazing talents and skills of our Singers and their friends and families to make our organization better! Below are the some of the roles and descriptions of the Volunteers we're looking for in the coming season!


Rehearsal Volunteers: 

  • Set up Folding Chairs and Tables as needed for rehearsal
  • Put up Folding Chairs and Tables from rehearsal
  • Set up Sign in Tables
  • Set up Keyboard & Microphones
  • Set up Parent Social Area (TCGC Only)
  • Open and Close the Accessible Entrance
  • Put up and remove any Signage

Schedule: weekly; 30 minutes before and after scheduled rehearsals

Description: Rehearsal Volunteers help us by setting up the space for rehearsal, if you have some time before or after rehearsal, we need your help in setting up and putting away the chairs, keyboard, sign in and social areas. This not only gives you a chance to catch up and make new friends, but frees up the Staff to answer questions and greet fellow singers and families!


Open Rehearsal Volunteers:

  • Set up Folding Chairs and Tables as needed for rehearsal
  • Put up Folding Chairs and Tables from rehearsal
  • Set up Sign in Tables
  • Set up Keyboard & Microphones
  • Greet New Singers and direct them
  • Music Assistance
  • Sign In Table
  • Registration Assistance

Schedule: Once; 30 minutes before and after Open rehearsal

Description: Open Rehearsal Volunteers help us by setting up the space for rehearsal, guiding new singers inside and outside the building, assisting new signers in signing in, handing out music and finding seats in their section. if you have some time before or after this rehearsal, we definitely need your help in setting up and putting away the chairs, keyboard, sign in and social areas. This is ideal for singers interested in stepping up as leaders in the choir, being a resource for incoming singers and a friendly face at events, encouraging and welcoming our new singers into the community.


Music Library Volunteers: 

  • Scanning Music to Drive
  • Stamping Music
  • Numbering Music

Schedule: Ongoing; during rehearsal or during periodic scheduled times.

Description: Music Library Volunteers help us develop and maintain our musical archive! We are in the process of scanning our entire music library, and improving our Girls’ Choir library. Scanning and updating our library helps the organization keep track of these valuable assets, make notes that accurately reflect when we have sung each work, and more accurately order what we need when we plan our concerts. If you love organizing, this might be the perfect job for you!


Box Office Volunteers: 

  • Set up Box Office for shows
  • Check in patrons off our Will Call List
  • Sell remaining tickets
  • Use Square for transactions
  • Maintain Cash Box & Reconcile

Schedule: Each Concert; 2 hours before the performance

Description: Box Officers help check in patrons off our Will Call List and sell remaining tickets for the show. We set up the Box Office area including the table, table dressing, signs, and cash boxes before we open for sales. Box Office sales open 90 minutes before the show begins, and the space is open for seating 30 minutes before the show. Box Officers ensure our patrons have a seamless experience at our shows! If you like talking to folks, making people feel welcome and are comfortable with Square and cash handling, this is the perfect role for you!


Usher Volunteers: 

  • Ensure the venue is clear of all trash, personal items, and tech items
  • Greet guests as they arrive and help them to the right line for tickets
  • Guide our Golden Circle Season Subscribers to their seats
  • Open the House for seating when directed
  • Hand out Programs
  • Guide guests with accessibility needs to their seats
  • Help communicate seating needs and find seats for patrons

Schedule: Each Concert; 90 minutes before the performance

Description: Ushers help patrons find their way when they arrive. When the Box Office opens Ushers ensure the House is clean and ready for seating. Ushers hand out programs direct patrons to the lies for purchasing or Will Call and ensure Golden Circle Subscribers find their specific entrance. When directed by Staff, Ushers let the patrons in and help people find seats as needed. If you enjoy making people feel welcome and are comfortable problem solving and directing folks, this is the perfect role for you!


Merchandise Volunteers:

  • Set up Merchandise Table for shows
  • Use Square for transactions
  • Receive Donations
  • Complete Special Orders
  • Maintain Cash Box
  • Reconciliation of Inventory

Schedule: Each Concert; 2 hours before the performance until 1 hour after the performance.

Description: Merch Volunteers sell our exclusive merchandise before, during and after the show. We set up the Merchandise area including the table, table dressing, signs, and cash boxes before we open for sales. Merch sales open 90 minutes before the show begins. Merch Volunteers ensure our patrons have a seamless experience purchasing! If you like talking to folks, making people feel welcome, selling products, talking up our awesome programs,  comfortable with Square and cash handling, this is the perfect role for you!


Organization Volunteers: 

  • Return all items to their location in storage
  • Count all merchandise and reconcile inventory
  • Identify items that need repair, re-order, replacement or to be trashed
  • Confirm all technology works
  • Donate items as needed
  • Moving items to designated storage locations
  • Light cleaning (dusting, sweeping, wiping things down)

Schedule: During the Summer; Usually July and August but we can find a time that works for us

Description: Organization Volunteers help us get ready for our next season and put our best foot forward! If giving things a place makes you feel happy, if getting rid of clutter makes your heart sing, if you love finding the perfect place for something - this is for you!


Logistics Volunteers:

  • Hauling items in your vehicle for drop off at the venue
  • Venue set up
  • Hanging directional signage
  • Assisting Production Team with set up
  • Ensure items are returned to Calvary
  • Put away all items post concert

Schedule: Each Concert; day before before the performance and after performance.

Description: Logistic Volunteers help us with creating the performance of our dreams! Loading items we need from storage, delivering to the venue, set up of directional signage, assisting with Production set up prior to Dress Rehearsal, and ensuring these items are returned and properly stored back at Calvary. If you enjoy working behind the scenes, learning about producing events, have a personal vehicle, and are comfortable hauling items to and from performances,, this is the role for you!


Event Volunteers:

  • Decorating Tables for the Gala
  • Set up Auction Items
  • Program/signage assembly
  • Roaming Ambassadors
  • Registration/Check In
  • Setting up promotional games
  • Sharing stories and talking up our mission
  • Looking for ways to connect folks to the organization either with donation of money, time, and/or services

Schedule: Fundraising Events; Sing-A-Thon and Divas & Desserts - 2 hours prior to each until an hour after the event.

Description: Event Volunteers help us with creating a positive environment that promote our fundraising efforts! Decorating the space, assembling and setting up public facing signage, roaming events encouraging folks to engage in promotional games,  If you enjoy hosting parties, are comfortable talking up the choir programs, asking for support and helping people feel good about giving us their support then this is the role for you!


Social Media Volunteers:

  • Creating Content
  • Promoting Concerts
  • Sharing and liking posts from our pages and events
  • Helping source mentions in other communities for sharing
  • Facebook and Twitter focused
  • Answering questions and redirecting folks to staff as needed
  • Moderating our boards and feeds

Schedule: Ongoing; with periodic meetings, and picking up around concerts and fundraising events.

Description: Social Media Volunteers help us by creating content, moderating our channels, helping to raise our visibility in the digital space. We’ll have meetings periodically to look at how we plan on attacking our Social Media and Marketing efforts.  If you like being online, are comfortable helping answer questions or redirecting to staff as needed, know all about how to get us the likes and have a passion for good social media, then this is the role for you!


Archive Volunteers:

  • Digitize archived items
  • File and organize archive items
  • Upload archived items to our Drive
  • Ensure a copy of all relevant items are held back for filing from all programs
  • Incorporating TCGC records into the archives
  • Developing best practices

Schedule: Ongoing; set your own schedule with Kim.

Description: Archive Volunteers have a unique role in preserving the history of our choirs. From our first days, collecting stories, memories, and physical items of the choir programs reminds us of where we’ve been and helps us see where we’re going!  If you like creating best practices, ensuring records are archived for posterity and stored digitally, and have a passion for history, then this is the role for you!


Girls' Choir Mentorship Volunteers: 

  • Set up and clean up for the Retreats & Special Events
  • Classroom assistant during Retreats
  • Assist with wardrobe fittings
  • Serve and help clean up meals
  • Being a buddy for Bowl-A-Thon
  • Help create a tangible connection across the organization

Schedule: Annual Retreat and Mid Season Retreat; during Bowl-A-Thon

Description: TCGC Mentorship Volunteers play a unique role in guiding and mentoring our younger singers. Being a visible presence at Retreats through set-up and registration, assisting in classrooms, serving and eating with the singers, cleaning up and wardrobe fittings helps to set up a supportive network of sisterhood. Bowl-A-Thon buddies enable singers to include you in their letter writing campaign, helping singers expand their networks and meet their goals. If you enjoy being a leader, getting to know our awesome TCGC singers, and have a passion for building leadership through authentic relationships, then this is the role for you!


Classroom/Performance Assistant Volunteers:

  • Being present in green room before shows
  • Helping with accompanying singers to and from restrooms
  • In the event a child needs to leave the stage, walking with them to the green room and await their parent

Schedule: Before and during each TCGC Performance; 2 hours before the show

Description: Classroom/Performing Volunteers ensure staff has a helping hand in managing the restroom breaks, lining up, and can assist in the event of an emergency or where a child needs to leave the stage. Perfect for parents, you arrive with your singer and don’t even have to miss the show! Bonus, you and your family get prime reserved seating by the stage!


Flyer Volunteers:

  • Dropping off TCGC flyers to selected schools in Minneapolis & St. Paul
  • Designated area of about 7 schools

Schedule: late August & early December; weekdays between 8am and 2pm.

Description: Flyer Volunteers help us grow TCGC by delivering flyers to the offices of select Minneapolis and St.Paul schools. Pick up flyers from Calvary during rehearsal, along with designated maps and target grades for your area. Then drop off to your assigned school offices between 8am and 2pm. Each area has about 7 schools and is just right to complete in about 3 hours. If you have access to a vehicle, and have time during the weekdays,  this is the perfect role for you!
